Why stock transfers matter for multi-store businesses

When you operate two or more retail locations, each store serves a different customer base with different demand patterns. A store in Pétion-Ville might sell more premium imported goods while a store in Delmas sells more bulk staples. A store near a school might sell more school supplies in August and September. A store in a business district might do most of its sales during lunch hours while a residential-area store peaks in the evening.

These differences mean that inventory levels rarely stay balanced across locations. The same product might be overstocked at Store A and nearly out of stock at Store B at the same time. Without a way to transfer stock between stores, you have two bad options: order more for Store B (increasing total inventory investment) or let Store B run out (losing sales).

When to transfer stock vs. place a new purchase order

Stock transfers are not always the right answer. Here is how to decide whether to transfer or order new stock:

Transfer when: One store has excess stock of a product (more than 4-6 weeks of supply) and another store is low (less than 1-2 weeks of supply). The product is not at risk of expiring or becoming obsolete. The transfer cost (transportation, staff time) is less than the cost of placing a new supplier order.

Order new stock when: All stores are low on a product. The product is a new item with no existing overstock anywhere. The cost of transferring exceeds the benefit of avoiding a new order.

For most multi-store retailers, a good rule of thumb is: transfer for fast-moving products where stock imbalances happen frequently, and order new stock for slow-moving or seasonal items where transfers are rare.

Preparing your multi-store inventory for stock transfers

Even before you have the ability to transfer stock between stores, you can prepare your multi-store setup for when the feature becomes available:

• Use consistent product naming across all stores. The same product should have the exact same name, SKU, and unit of measure across all locations. If Store A calls it "Rice 5kg Bag" and Store B calls it "5kg Bag Rice," the system will treat them as different products and transfers will not work. Standardize your product catalog now.
• Set per-store reorder points. Each store should have its own minimum stock thresholds based on its sales velocity. A high-volume store needs a higher reorder point than a low-volume store. Manual stock transfer process

Until automated stock transfers are available within Vendrex, you can manage transfers manually:

1. Check inventory at both stores. Switch between your store views in Vendrex to see current stock levels at each location. Identify products where one store has excess and another is running low.
2. Document the transfer. Note which products are being moved, the quantities, the source store, the destination store, and the date. Keep a simple log — a notebook or spreadsheet works.
3. Physically move the stock. Transport the products from the source store to the destination store. Use a transfer slip listing items and quantities so the receiving store can verify the goods.
4. Adjust inventory in Vendrex. After the physical transfer is complete, manually update stock levels at both locations. Since automated stock transfers are not yet available, you will need to record a manual adjustment at each store to keep your system accurate.

Tracking inventory health across stores

Even without automated transfers, you can track how well your inventory is balanced across locations:

Compare stockout rates between stores. If one store consistently runs out of certain products while another has excess, that product is a candidate for redistribution. Use Vendrex reports to identify these patterns.

Monitor overstock. Products that sit on shelves for months tie up capital. If one store has a 6-month supply of a product, consider whether that stock would sell faster at another location. Adjust future purchase orders accordingly.
