How low stock alerts work in Vendrex

Vendrex monitors inventory and alerts you when stock drops below your configured minimum. Each product has a reorder point field where you set the quantity that should trigger an alert. When stock reaches or falls below this level, the product appears in the dashboard low stock count and in the product list filtered by low stock status.

Alerts appear in two places. The inventory dashboard shows a count of products with low stock. The product list screen has a "Show Low Stock" toggle that filters to only products at or below their reorder point. This lets you quickly see which products need attention without scrolling through your entire catalog.

For products with variants, each variant can have its own reorder point and stock count. A t-shirt in size Medium might have a threshold of 10 while size Small has 3. Each variant triggers independently, so you only get alerts for the specific sizes that need reordering.

Low stock alerts work per store in multi-store setups. Each location has its own stock levels and reorder points. A product might be low at Store A but well-stocked at Store B, and you will only see the alert for Store A when you switch to that store's view.

The problem of running out of stock

Nothing frustrates a customer more than walking into your store ready to buy, only to find the product they want is out of stock. You lose not just that sale but potentially that customer forever. Studies show that most customers who encounter a stockout will shop elsewhere next time. For small businesses with limited competition, stockouts are still lost revenue that directly impacts your bottom line.

On the other side, carrying too much stock ties up capital that could be used for other purposes. Without a system to tell you when stock is low, you either check every product manually, which is impossible for a large catalog, or you guess. Guessing leads to either stockouts or overstock. A low stock alert system solves this by monitoring inventory automatically and notifying you when a product falls below a threshold you define.

For Haitian businesses importing goods with long lead times, stockouts are especially dangerous. If a product takes three to six weeks to arrive from overseas, running out means being without it for over a month. For staple items like rice, cooking oil, and flour, which are typically imported, a stockout is not a one-day problem — it is a crisis that can take months to recover from. A low stock alert system gives you early warning so you can reorder with enough lead time. You maintain continuous availability of your best-selling products.

What is a low stock alert system?

A low stock alert system is an automated inventory monitoring tool that notifies you when product quantities drop below a predefined minimum level. Instead of manually checking stock counts, you set a threshold for each product, and the system watches for you. When stock falls below the threshold, the system generates an alert that you can see on your dashboard, in the app, or as a notification.

Low stock alerts serve two purposes. First, they prevent stockouts by giving you early warning. You see that Product A has 5 units left and your threshold is 10, so you know it is time to reorder. Second, they help you maintain optimal inventory levels. You can set higher thresholds for products with long lead times and lower thresholds for products you can restock quickly.

Vendrex integrates low stock alerts with the rest of your POS system. When you see a product has triggered a low stock alert, you can manually create a purchase order for that product. The product's current stock level and reorder point help you decide how much to order. You can also view all alerted products by using the low stock filter in the product list and create purchase orders for the items that need replenishment.

How it works in Vendrex

Setting up low stock alerts is straightforward. For each product or variant, you set a minimum stock quantity. This is the level at which the system should alert you. For example, if you want to reorder a popular t-shirt when stock drops below 10 units, set the minimum to 10. You can also set a maximum stock level if you want to avoid over-ordering. The system uses both values to suggest reorder quantities.

Alerts appear in two places. The inventory dashboard shows a count of products with low stock. The product list screen has a "Show Low Stock" toggle that filters to only products at or below their reorder point. This lets you quickly see which products need attention.

From the product list with the low stock filter active, you can tap any product to view its details, see current stock level and reorder point, and create a purchase order. If you manage product variants, each variant has its own threshold and alert. This ensures you never run out of a specific size or color while other variants of the same product are fully stocked.

Common challenges Vendrex solves

You do not know which products need reordering. In a store with 500 products, checking each one manually is impractical. Products run out without warning because you did not notice the stock level. Vendrex's low stock alerts do the monitoring for you. The dashboard highlights exactly which products need attention. You never guess about stock levels again. For imported goods that take weeks to arrive via the Port-au-Prince sea port, early warning is critical — a week's notice can mean the difference between a full shelf and an empty one.

Reorder timing is inconsistent. Without alerts, you reorder when you notice stock is low, which might be days or weeks after the threshold was crossed. By then, you are already out of stock. Automated alerts trigger the moment stock drops below the threshold. You reorder at the right time, every time, maintaining continuous product availability.

Different products need different thresholds. A best-selling item needs a higher reorder point than a slow mover. Imported goods with long lead times need higher thresholds than locally sourced products. Vendrex lets you set custom minimum quantities per product. Fast sellers can have a minimum of 50 while slow movers have a minimum of 5. The system respects each product's unique requirements. Since imported goods require cash upfront and working capital is often tied up in USD-denominated inventory, setting the right threshold is especially important for Haitian businesses.

Variant stock is impossible to track manually. If you have a t-shirt in three sizes and five colors, that is 15 stock levels to monitor. Staff might keep restocking the most popular size while neglecting others. Vendrex supports per-variant low stock alerts. Each variant combination has its own threshold. You restock the Large size when it runs low without affecting the Medium and Small levels.

Multi-store stock management is messy. For multi-store operations, each location has independent inventory. A product might be low at Store A but well-stocked at Store B. Vendrex tracks low stock alerts per store, so when you switch to a store's view, you see only that location's alerts.

Benefits by industry

  • Retail clothing stores — Set per-variant thresholds for each size and color combination. Receive alerts when popular sizes sell out. Reorder based on real sales data rather than guesses, reducing both stockouts and overstock of slow-moving sizes.
  • Grocery stores — High-volume products like rice, oil, and beverages need constant monitoring. Set low thresholds for fast-moving staples and higher thresholds for imported specialty items with longer lead times. Never run out of essential products during peak shopping periods.
  • Pharmacies — Critical medications must always be in stock. Set conservative thresholds with significant lead time buffers. Receive alerts well before stock runs out, giving you time to order from pharmaceutical distributors. Patient safety depends on medication availability.
  • Hardware stores — Manage thousands of SKUs with varying sales velocities. Set higher thresholds for commonly purchased items like nails, screws, and paint. Lower thresholds for specialty items. Alerts help you maintain a balanced inventory across all product categories.
  • Restaurants — Track ingredient stock levels to prevent menu items from becoming unavailable. Set alerts for key ingredients that are used in multiple dishes. When a critical ingredient triggers a low stock alert, create a purchase order to your food supplier before you run out during service.
  • Electronics stores — High-value products need careful stock management. Set thresholds that give you enough time to arrange financing or approve large purchase orders. Use sales velocity reports alongside alerts to make informed purchasing decisions.

Frequently Asked Questions

Open any product's detail page and navigate to the stock settings section. Enter the minimum quantity that should trigger a low stock alert. For example, if you want to reorder when stock drops below 10, set the minimum to 10. You can also set a maximum quantity to avoid over-ordering. For products with variants, each variant can have its own minimum quantity.

Vendrex notifies you in two ways. First, the inventory dashboard shows a count of low-stock products. Second, you can use the "Show Low Stock" filter on the products screen to see only items that need reordering. Check the dashboard daily to stay on top of products that need attention.

Vendrex does not automatically place orders with suppliers, but it streamlines the reorder process. Use the low stock filter to identify products needing reorder, then create a purchase order by selecting the supplier and adding the products that need restocking.

Yes. In multi-store setups, each store location has its own inventory counts and its own alert thresholds. A product might have a threshold of 20 units at a high-volume store and 5 units at a low-volume store. Alerts are generated per store based on that store's threshold and current stock level. This ensures you reorder appropriately for each location's demand.

Alerts update in real time. Every time a sale is processed, a return is made, or inventory is adjusted, the system checks stock levels against thresholds. If a product drops below its minimum, an alert is generated immediately. There is no daily batch process or delay. Your alerts are always current, reflecting the latest stock levels after every transaction.

Yes. Each product variant can have its own minimum stock threshold. For example, a t-shirt in size Small might have a threshold of 5, while size Medium has a threshold of 15 because it sells faster. Each variant triggers its own alert independently. This per-variant precision ensures you never run out of a specific size or color while others remain in stock.

Yes. Vendrex supports bulk threshold updates. You can select multiple products or variants and set their minimum quantities simultaneously. You can apply a flat minimum to all selected items or adjust based on current stock levels. This is especially useful during initial setup when you have hundreds of products that need baseline thresholds configured.

The alert remains active until you either restock the product or adjust its minimum quantity. Alerts are not cleared automatically. This ensures you do not forget about low-stock items. If a product's stock reaches zero, the alert continues to show, and the product will not be available for sale in the POS unless you allow negative stock (a configuration option). We recommend addressing alerts promptly to maintain product availability.

Yes. Each product can have its own minimum stock threshold based on its sales velocity, lead time, and importance. Fast-moving items can have higher thresholds so you reorder earlier, while slow-moving items can have lower thresholds to avoid overstocking. You set the threshold on the product's stock settings page, and the system respects each product's individual requirement.

Vendrex shows low stock alerts on the inventory dashboard with a count of products below their minimum thresholds. You can also use the "Show Low Stock" filter on the products screen to see exactly which items need reordering. Check these daily to stay on top of restocking needs. Dedicated push notifications are planned for a future release.

Yes. In multi-store setups, each store location can have its own minimum stock thresholds for the same product. A high-volume store might set a threshold of 50 units while a low-volume store sets 5 units for the same item. Each store receives alerts based on its own stock levels and thresholds. This per-store flexibility ensures you reorder appropriately for each location's demand patterns.

When a product's stock reaches zero, the low stock alert remains active and the product is marked as out of stock. In the POS, the product will show as unavailable for sale unless you have enabled negative stock tracking in your settings. We recommend addressing zero-stock alerts immediately to avoid lost sales. The purchase order system lets you create a reorder from the alert with one tap.

Yes. Vendrex supports bulk threshold updates so you can set minimum quantities for multiple products at once. Select the products from your inventory list and apply a new threshold value to all of them at the same time. You can also use the CSV export and import workflow to update thresholds in bulk outside the app. This is especially useful during initial setup when configuring thresholds for a large catalog.

To disable low stock alerts for a specific product, set its minimum stock threshold to zero. The product will no longer trigger alerts regardless of its stock level. This is useful for products you do not regularly restock, such as special-order items or seasonal products. You can always re-enable alerts later by setting a new minimum threshold.
